True two-way sync. Shifts in, availability back.

VenueWiki's Calendar Sync is a true two-way sync. Your AV shifts from Rentman, Deputy, Humanity or Connecteam go into Google Calendar or Outlook and stay updated when the roster changes. Your availability goes back the other way, so your roster app knows when you're booked.

A shift from one roster lands on your calendar, and shows you as unavailable on your other rosters.

Works with multiple companies on Rentman and Humanity.

Copying shifts is the easy part. Keeping them right is the problem.

Without VenueWiki

  • Check each roster.
  • Copy each shift into your calendar.
  • Re-check for changes.
  • Fix the times.

With VenueWiki

  • Check your calendar.
  • Stays in sync and up to date as the roster changes.
  • Every change is logged.

VenueWiki keeps your calendar matched to the roster, so you don't have to.

Be bookable when you're free.

Your busy time goes back to the roster as unavailable, so the people scheduling can see when you're available and book you into it, instead of ringing around.

I used to share my Google Calendar, but nobody booking a job thinks to open someone else's calendar, so I'd still get the "are you free?" calls. Now my availability shows up inside the roster they already work in. They book me when I'm free, and my bookings have gone up.

Josh, founder and working AV tech

Your private calendar stays private.

Your company sees you as unavailable, with the note "Synced from VenueWiki Calendar Sync". Never the event behind it. A dentist appointment, a date or even a day off all look the same.

Built for people who work gigs.

Schedulers and crew coordinators

Stop chasing crew for availability. Their busy time shows up inside the roster you already use, so you book people who are actually free.

How it works
1

Your company connects their roster.

One-time setup on their side — Rentman, Deputy, Humanity or Connecteam.

2

You connect your calendar.

Google or Outlook, then your specific calendar. Two clicks and you're done. Backfills one month and syncs forward a minimum of 12 months.

3

Your shifts just appear.

New gigs land on your calendar. Times change, the event changes. Shift's pulled from the roster or you're taken off it, it's gone. You never touch it. Every change is logged for you, and you can choose to be notified.

4

Your calendar, your rules.

Tag an event #me, or exclude its colour (Google) or category (Outlook), and it won't mark you unavailable. Pick a colour for each company synced into your calendar.

Already using one of these? You're covered.

FAQ

Which calendars?

Google Calendar and Outlook. Apple Calendar isn't supported.

Does it touch the roster?

Only to mark you unavailable. Your shifts come in; your availability goes back as a block with a fixed note, never your event details. On supported rosters: Rentman, Deputy, Humanity and Connecteam.

What does my company have to do?

Connect their roster app once. After that it's all automatic — you just connect your calendar.

Can i stop an event marking me unavailable?

Yes — tag it #me, or exclude its colour, and it won't block you out in the roster.

Dress Circle — Connector 4 / 4

Connecteam calendar sync, two-way, in Google Calendar or Outlook.

Your company rosters you in Connecteam. You've copied the calendar sync link into Google Calendar the way the help centre says, and your shifts turn up a few hours later, sometimes the next day; Connecteam's own troubleshooting page says to give it 24 hours before you worry. A shift moves and your calendar doesn't. You put a week away in your own calendar and Connecteam still thinks you're free. VenueWiki's Calendar Sync closes that gap: your Connecteam shifts land in Google Calendar or Outlook within seconds, and your availability goes back to Connecteam.

What Connecteam's own calendar sync does, and what it doesn't

Connecteam gives you a calendar sync link for your Job Schedule, and its help centre is clear about how it behaves.

  • It's a feed, not a sync. You copy the link from the Job Schedule and add it to Google Calendar, Outlook or Apple Calendar. Your calendar then fetches it on its own schedule. Connecteam's troubleshooting page says that can take anywhere from a few hours up to 24 hours.
  • It's one-way, and only your own shifts. Only published shifts assigned to you go out, and nothing you put in your calendar goes back to Connecteam. Connecteam's help centre also says it isn't possible to sync all employees' schedules into one calendar.
  • A separate setup for each company. Each company that rosters you in Connecteam is set up on its own.

So if your calendar is Google or Outlook, what Connecteam gives you is a one-way feed that can be a day behind. That's the problem this page is about.

How VenueWiki's Calendar Sync makes it two-way

Connecteam to your calendar. Your company connects their Connecteam to VenueWiki once. From then on, every published shift they roster you on lands in your Google Calendar or Outlook:

  • The company name and the shift's title in the event title, and the shift's address as the location.
  • The job name in the description, when the shift has one.

Times change, the event changes. Shift's cancelled, it's gone. Connecteam tells VenueWiki the moment a shift is created, changed or deleted, so changes land within seconds. VenueWiki's hourly check is the backup.

Your calendar to Connecteam. Put something in your own calendar, a holiday, the dentist, another gig, and Connecteam shows you as unavailable. New, changed and removed events go across as they happen. Connecteam gets the dates and a fixed note. It never gets the name of the event.

What comes with it.

  • Every company you work for, in one calendar. Want a colour per company? Turn it on.
  • Don't want an event to block you in Connecteam? Tag it #me, or give it a colour you've excluded, and it won't mark you unavailable.
  • When a company moves your shift, the change is logged inside the event, and you can get an email about it, per company.
  • You never have to open Connecteam for any of this. Your company's shifts find you by the email or mobile number Connecteam has for you.

Setting it up

Your company does this once:

  1. In Connecteam, an account owner creates an API key: Admin icon → Integrations → API Key. Connecteam's API is part of its Expert plan.
  2. Paste the key into the company's VenueWiki manage page. VenueWiki finds the scheduler itself; if the account has more than one, the admin picks which. VenueWiki also registers its own webhook with Connecteam, which is what makes changes arrive in seconds. Connecteam's free trial doesn't allow webhooks, so a trial account runs on the hourly check until it's upgraded.

You do this:

  1. Join VenueWiki. First year on us — free for all new members.
  2. Turn on VenueWiki's Calendar Sync. The first 90 days are free, no card needed.
  3. Connect Google Calendar or Outlook. Two clicks, done.
  4. Your company appears on your calendar-sync page. Switch it on. Make sure the email (or mobile number) on your VenueWiki account is the one Connecteam has for you.

Questions people ask about Connecteam calendar sync

Does Connecteam sync with Google Calendar?

Connecteam's own route is a calendar sync link: one-way, and your calendar refreshes it on its own schedule, which Connecteam's help centre puts at a few hours up to 24. VenueWiki's Calendar Sync is the two-way option: shifts in within seconds, availability back.

Why isn't my Connecteam calendar syncing?

With the link, it's usually that your calendar hasn't fetched it yet; Connecteam's own advice is to wait 24 hours, then unsubscribe and resubscribe. VenueWiki's Calendar Sync doesn't wait for your calendar to fetch anything: Connecteam tells VenueWiki when a shift changes, VenueWiki writes the event itself, and the hourly check covers anything the webhook misses. If a shift's missing, the usual cause is the email or mobile number on your VenueWiki account not matching the one Connecteam has for you.

How long does Connecteam Google Calendar sync take?

With Connecteam's link, up to a day. With VenueWiki's Calendar Sync, seconds, as Connecteam sends VenueWiki each change. If the webhook isn't available on your company's Connecteam plan, the hourly check picks changes up, so the worst case is about an hour.

Can managers sync all employee schedules to Google Calendar?

Not through Connecteam's link; its help centre says so. VenueWiki's Calendar Sync works per crew member, each into their own calendar. What managers get out of it is the other direction: everyone's availability showing up in Connecteam before you roster them.

What does Connecteam see from my calendar?

Only that you're unavailable on those dates, with a fixed note: “Synced from VenueWiki Calendar Sync”. Never the event title or its details.

Does it work with Outlook?

Yes. VenueWiki's Calendar Sync puts your shifts in Outlook and Microsoft 365 calendars, and your Outlook availability goes back to Connecteam.

Does Connecteam calendar sync work on an iPhone, Android, or in the app?

Connecteam's link does, one-way, through whatever calendar your phone shows. VenueWiki's Calendar Sync puts your shifts in your Google or Outlook calendar, and your phone already shows those. Nothing to install, and you can set it up from your phone's browser.

I'm rostered by several companies on Connecteam. Do I need a link for each?

Not with VenueWiki's Calendar Sync. Each company connects once, and every shift from all of them lands in the one calendar, with a colour per company if you want it.

Is Connecteam two-way calendar sync free?

Connecteam's calendar sync link comes with Connecteam. VenueWiki's Calendar Sync is a VenueWiki add-on: $55 a year, about $1 a week. That's five schooners a year, or less than $5 a month. The first 90 days are free and we don't ask for a card.

Can I keep the calendar sync link too?

You can, but you'll see every shift twice. Most people switch it off once VenueWiki's Calendar Sync is running.

My company isn't on VenueWiki yet.

Send them this page. The company-side setup is two steps.

What about the other roster apps?

Same idea, each on its own page: Rentman, Deputy, Humanity and When I Work (coming soon).
