True two-way sync. Shifts in, availability back.

VenueWiki's Calendar Sync is a true two-way sync. Your AV shifts from Rentman, Deputy, Humanity or Connecteam go into Google Calendar or Outlook and stay updated when the roster changes. Your availability goes back the other way, so your roster app knows when you're booked.

A shift from one roster lands on your calendar, and shows you as unavailable on your other rosters.

Works with multiple companies on Rentman and Humanity.

Copying shifts is the easy part. Keeping them right is the problem.

Without VenueWiki

  • Check each roster.
  • Copy each shift into your calendar.
  • Re-check for changes.
  • Fix the times.

With VenueWiki

  • Check your calendar.
  • Stays in sync and up to date as the roster changes.
  • Every change is logged.

VenueWiki keeps your calendar matched to the roster, so you don't have to.

Be bookable when you're free.

Your busy time goes back to the roster as unavailable, so the people scheduling can see when you're available and book you into it, instead of ringing around.

I used to share my Google Calendar, but nobody booking a job thinks to open someone else's calendar, so I'd still get the "are you free?" calls. Now my availability shows up inside the roster they already work in. They book me when I'm free, and my bookings have gone up.

Josh, founder and working AV tech

Your private calendar stays private.

Your company sees you as unavailable, with the note "Synced from VenueWiki Calendar Sync". Never the event behind it. A dentist appointment, a date or even a day off all look the same.

Built for people who work gigs.

Schedulers and crew coordinators

Stop chasing crew for availability. Their busy time shows up inside the roster you already use, so you book people who are actually free.

How it works
1

Your company connects their roster.

One-time setup on their side — Rentman, Deputy, Humanity or Connecteam.

2

You connect your calendar.

Google or Outlook, then your specific calendar. Two clicks and you're done. Backfills one month and syncs forward a minimum of 12 months.

3

Your shifts just appear.

New gigs land on your calendar. Times change, the event changes. Shift's pulled from the roster or you're taken off it, it's gone. You never touch it. Every change is logged for you, and you can choose to be notified.

4

Your calendar, your rules.

Tag an event #me, or exclude its colour (Google) or category (Outlook), and it won't mark you unavailable. Pick a colour for each company synced into your calendar.

Already using one of these? You're covered.

FAQ

Which calendars?

Google Calendar and Outlook. Apple Calendar isn't supported.

Does it touch the roster?

Only to mark you unavailable. Your shifts come in; your availability goes back as a block with a fixed note, never your event details. On supported rosters: Rentman, Deputy, Humanity and Connecteam.

What does my company have to do?

Connect their roster app once. After that it's all automatic — you just connect your calendar.

Can i stop an event marking me unavailable?

Yes — tag it #me, or exclude its colour, and it won't block you out in the roster.

Rentman calendar sync, two-way, in Google Calendar or Outlook.

Three companies roster you in Rentman. You set up the iCal feed the way the help article says, and your shifts turn up in Google Calendar hours later, sometimes the next day. A call time moves and your calendar doesn't. You block out a week off in your own calendar and Rentman still thinks you're free. VenueWiki's Calendar Sync closes that gap: once your company connects Rentman's webhook, Rentman shifts land in Google Calendar or Outlook within seconds, and your availability goes back to Rentman.

What Rentman's own calendar sync does, and what it doesn't

Rentman's website describes two ways to get your My Schedule into a calendar. Here's what each one does.

  • The iCal feed. This is the route for Google Calendar and Outlook, and Rentman's own article says it's one-way. Your calendar pulls the feed on its own schedule; Rentman notes that some apps, Google Calendar among them, refresh it about once a day. Nothing goes back to Rentman.
  • CalDAV. Rentman's docs describe two-way sync through CalDAV with the Calendar app on an Apple or Android device. We couldn't find that setting in My Schedule, and even as described it talks to the device's own Calendar app, not to your Google Calendar or Outlook account.
  • A separate setup for each company. Each company that rosters you in Rentman is its own workspace, so the feed is set up again for each one.

So if your calendar is Google or Outlook, what Rentman gives you is a one-way feed that updates about once a day. That's the problem this page is about.

How VenueWiki's Calendar Sync makes it two-way

Rentman to your calendar. Your company connects their Rentman to VenueWiki once. From then on, every shift they roster you on lands in your Google Calendar or Outlook:

  • The company and job name in the title, and the venue as the location.
  • The project number, your role, and any job notes the company added.
  • In Google Calendar on desktop, an Open in Rentman link at the bottom of the event card. One click takes you to the booking.

Times change, the event changes. Gig's cancelled, it's gone. After the first sync, your company's Rentman webhook is what carries new shifts and changes, so they need to add it. With it connected, changes land within seconds.

Your calendar to Rentman. Block out time in your own calendar, a holiday, the dentist, another gig, and Rentman shows you as unavailable. Rentman gets the dates and a fixed note. It never gets the name of the event.

What comes with it.

  • Every company you work for, in one calendar. Want a colour per company? Turn it on.
  • Don't want an event to block you in Rentman? Tag it #me, or give it a colour you've excluded, and it won't mark you unavailable.
  • When a company moves your call time, the change is logged inside the event, and you can get an email about it, per company.
  • You never have to open Rentman: nothing in VenueWiki's Calendar Sync needs a Rentman login.

Setting it up

Your company does this once:

  1. In Rentman, generate an API key under Configuration → Integrations → API.
  2. In VenueWiki, paste the key on your company's Manage page, under Integrations, and click Connect Rentman.
  3. Copy the webhook URL VenueWiki then shows you, and add it in Rentman under Configuration → Integrations → Webhooks. After the first sync, it's what carries new shifts and changes, so don't skip it.

You do this:

  1. Join VenueWiki. The first year of crew membership is free.
  2. Turn on VenueWiki's Calendar Sync. The first 90 days are free, no card needed.
  3. Connect Google Calendar or Outlook. Two clicks, done.
  4. Make sure the email on your VenueWiki account is the one Rentman has for you. That's how your company's shifts find you.

Questions people ask about Rentman calendar sync

Does Rentman have two-way (2-way) calendar sync?

Rentman's docs describe two-way sync through CalDAV with a phone or Mac's Calendar app; we couldn't find that setting. For Google Calendar and Outlook, Rentman's own article says the sync is one-way, through an iCal feed. VenueWiki's Calendar Sync is the two-way option: shifts in, availability back.

Does Rentman calendar sync work on an iPhone?

Rentman's iCal feed does, one-way, through whatever calendar your iPhone shows. VenueWiki's Calendar Sync puts your shifts in your Google or Outlook calendar, and your iPhone already shows those. No extra account, no extra app.

Is Rentman two-way calendar sync free?

Rentman's iCal feed comes with Rentman. VenueWiki's Calendar Sync is an add-on: $55 a year, about $1 a week. That's five schooners a year, or less than $5 a month. The first 90 days are free and we don't ask for a card.

Is there a Rentman calendar sync app?

Nothing to install. VenueWiki's Calendar Sync runs inside your VenueWiki account, and your shifts show up in whatever calendar app you already use: Google Calendar, Outlook, or the iPhone or Android calendar signed in to those accounts.

Does it work with Outlook?

Yes. Shifts sync to Outlook and Microsoft 365 calendars, and your availability goes back to Rentman from Outlook too. The one thing Outlook doesn't show is the Open in Rentman link.

I'm rostered by several companies on Rentman. Do I need a feed for each?

Not with VenueWiki's Calendar Sync. Each company connects once, and every shift from all of them lands in the one calendar, with a colour per company if you want it.

What does Rentman see from my calendar?

Only that you're unavailable on those dates, with a fixed note: “Synced from VenueWiki Calendar Sync”. Never the event title or its details.

How quickly do changes come through?

With your company's webhook connected, within seconds. The webhook is what carries changes after the first sync, so your company needs to add it.

Can I keep the iCal feed too?

You can, but you'll see every shift twice. Most people switch the feed off once VenueWiki's Calendar Sync is running.

My company isn't on VenueWiki yet.

Send them this page. The company-side setup is three steps.

What about the other roster apps?

Same idea, each on its own page: Deputy, Humanity, Connecteam and When I Work (coming soon).
