True two-way sync. Shifts in, availability back.

VenueWiki's Calendar Sync is a true two-way sync. Your AV shifts from Rentman, Deputy, Humanity or Connecteam go into Google Calendar or Outlook and stay updated when the roster changes. Your availability goes back the other way, so your roster app knows when you're booked.

A shift from one roster lands on your calendar, and shows you as unavailable on your other rosters.

Works with multiple companies on Rentman and Humanity.

Copying shifts is the easy part. Keeping them right is the problem.

Without VenueWiki

  • Check each roster.
  • Copy each shift into your calendar.
  • Re-check for changes.
  • Fix the times.

With VenueWiki

  • Check your calendar.
  • Stays in sync and up to date as the roster changes.
  • Every change is logged.

VenueWiki keeps your calendar matched to the roster, so you don't have to.

Be bookable when you're free.

Your busy time goes back to the roster as unavailable, so the people scheduling can see when you're available and book you into it, instead of ringing around.

I used to share my Google Calendar, but nobody booking a job thinks to open someone else's calendar, so I'd still get the "are you free?" calls. Now my availability shows up inside the roster they already work in. They book me when I'm free, and my bookings have gone up.

Josh, founder and working AV tech

Your private calendar stays private.

Your company sees you as unavailable, with the note "Synced from VenueWiki Calendar Sync". Never the event behind it. A dentist appointment, a date or even a day off all look the same.

Built for people who work gigs.

Schedulers and crew coordinators

Stop chasing crew for availability. Their busy time shows up inside the roster you already use, so you book people who are actually free.

How it works
1

Your company connects their roster.

One-time setup on their side — Rentman, Deputy, Humanity or Connecteam.

2

You connect your calendar.

Google or Outlook, then your specific calendar. Two clicks and you're done. Backfills one month and syncs forward a minimum of 12 months.

3

Your shifts just appear.

New gigs land on your calendar. Times change, the event changes. Shift's pulled from the roster or you're taken off it, it's gone. You never touch it. Every change is logged for you, and you can choose to be notified.

4

Your calendar, your rules.

Tag an event #me, or exclude its colour (Google) or category (Outlook), and it won't mark you unavailable. Pick a colour for each company synced into your calendar.

Already using one of these? You're covered.

FAQ

Which calendars?

Google Calendar and Outlook. Apple Calendar isn't supported.

Does it touch the roster?

Only to mark you unavailable. Your shifts come in; your availability goes back as a block with a fixed note, never your event details. On supported rosters: Rentman, Deputy, Humanity and Connecteam.

What does my company have to do?

Connect their roster app once. After that it's all automatic — you just connect your calendar.

Can i stop an event marking me unavailable?

Yes — tag it #me, or exclude its colour, and it won't block you out in the roster.

Humanity calendar sync, two-way, in Google Calendar or Outlook.

Your company rosters you in Humanity. You've added the calendar sync URL to Google Calendar the way the help article says, and your shifts turn up whenever your calendar gets round to fetching them. A shift moves and your calendar doesn't. You put a week away in your own calendar and Humanity still shows you as available. VenueWiki's Calendar Sync closes that gap: your Humanity shifts land in Google Calendar or Outlook within the hour, and your availability goes back to Humanity.

What Humanity's own calendar sync does, and what it doesn't

Humanity (now part of TCP Software) gives you a calendar sync URL for your schedule, and its own help article says plainly what it is.

  • It's a feed, not a sync. The URL is an iCal file your calendar app fetches on its own schedule.
  • It's one-way. Humanity's article says the sync is only one-way, from Humanity to your calendar. Nothing goes back.
  • One URL per schedule. Each schedule you're on has its own URL, so it's a separate setup for each one.

So if you want changes quickly, or you want Humanity to know when you're busy, the feed doesn't do it. That's the problem this page is about.

How VenueWiki's Calendar Sync makes it two-way

Humanity to your calendar. Your company connects their Humanity to VenueWiki once. From then on, every published shift they roster you on lands in your Google Calendar or Outlook:

  • The Humanity schedule you're rostered on, as the event title.
  • A note in the description saying it came from Humanity through VenueWiki's Calendar Sync.

Times change, the event changes. Shift's cancelled, it's gone. VenueWiki checks Humanity about once an hour, and pulls your shifts straight away when you switch a company on.

Your calendar to Humanity. Block out time in your own calendar, a holiday, the dentist, another gig, and Humanity shows you as unavailable. Humanity gets the dates and a fixed note. It never gets the name of the event.

What comes with it.

  • Every company you work for, in one calendar. Want a colour per company? Turn it on.
  • Don't want an event to block you in Humanity? Tag it #me, or give it a colour you've excluded, and it won't mark you unavailable.
  • When a company moves your shift, the change is logged inside the event, and you can get an email about it, per company.
  • You never have to open Humanity for any of this. Your company's shifts find you by the email Humanity has for you.

Setting it up

Your company does this once:

  1. In Humanity, create an API application under Settings → API v2: any name, redirect URI https://venuewiki.net, all API options. That gives you an App ID and App Secret. Availability needs to be switched on in Humanity’s settings too.
  2. On the company's VenueWiki manage page, paste the App ID and App Secret and sign in with a Humanity admin login. VenueWiki uses that login once to get its own token and doesn't keep the password.
  3. That's it. VenueWiki matches the crew by email, and the company appears on each matched crew member's calendar-sync page.

You do this:

  1. Join VenueWiki. First year on us — free for all new members.
  2. Turn on VenueWiki's Calendar Sync. The first 90 days are free, no card needed.
  3. Connect Google Calendar or Outlook. Two clicks, done.
  4. Your company appears on your calendar-sync page. Switch it on. Make sure the email on your VenueWiki account is the one Humanity has for you; that's how your shifts find you.

Questions people ask about Humanity calendar sync

Does Humanity sync with Google Calendar?

Humanity's own route is a calendar sync URL, and its help article says it's one-way. VenueWiki's Calendar Sync is the two-way option: shifts in within the hour, availability back.

How often does it sync?

Humanity's feed updates whenever your calendar app decides to fetch it. VenueWiki's Calendar Sync checks Humanity about once an hour and writes the events itself, and your shifts come across straight away when you switch a company on.

Why isn't my Humanity calendar syncing?

With the feed, it's usually that your calendar app hasn't fetched it yet, and some calendar apps, Google Calendar among them, don't let you choose how often it fetches. With VenueWiki's Calendar Sync there's no feed to wait on. If a shift's missing, the usual cause is the email on your VenueWiki account not matching the one Humanity has for you.

What does Humanity see from my calendar?

Only that you're unavailable on those dates, with a fixed note: “Synced from VenueWiki Calendar Sync”. Never the event title or its details.

Does it work with Outlook?

Yes. VenueWiki's Calendar Sync puts your shifts in Outlook and Microsoft 365 calendars, and your Outlook availability goes back to Humanity.

Does Humanity calendar sync work on an iPhone or Android?

Humanity's feed does, one-way, through whatever calendar your phone shows. VenueWiki's Calendar Sync puts your shifts in your Google or Outlook calendar, and your phone already shows those. Nothing to install, and you can set it up from your phone's browser.

I'm rostered by several companies on Humanity. Do I need a URL for each?

Not with VenueWiki's Calendar Sync. Each company connects once, and every shift from all of them lands in the one calendar, with a colour per company if you want it.

Do I need Zapier?

No. VenueWiki's Calendar Sync connects to Humanity directly.

Is Humanity two-way calendar sync free?

Humanity's calendar sync URL comes with Humanity. VenueWiki's Calendar Sync is a VenueWiki add-on: $55 a year, about $1 a week. That's five schooners a year, or less than $5 a month. The first 90 days are free and we don't ask for a card.

Can I keep the calendar sync URL too?

You can, but you'll see every shift twice. Most people switch it off once VenueWiki's Calendar Sync is running.

My company isn't on VenueWiki yet.

Send them this page. The company-side setup is three steps.

What about the other roster apps?

Same idea, each on its own page: Rentman, Deputy, Connecteam and When I Work (coming soon).
