True two-way sync. Shifts in, availability back.

VenueWiki's Calendar Sync is a true two-way sync. Your AV shifts from Rentman, Deputy, Humanity or Connecteam go into Google Calendar or Outlook and stay updated when the roster changes. Your availability goes back the other way, so your roster app knows when you're booked.

A shift from one roster lands on your calendar, and shows you as unavailable on your other rosters.

Works with multiple companies on Rentman and Humanity.

Copying shifts is the easy part. Keeping them right is the problem.

Without VenueWiki

  • Check each roster.
  • Copy each shift into your calendar.
  • Re-check for changes.
  • Fix the times.

With VenueWiki

  • Check your calendar.
  • Stays in sync and up to date as the roster changes.
  • Every change is logged.

VenueWiki keeps your calendar matched to the roster, so you don't have to.

Be bookable when you're free.

Your busy time goes back to the roster as unavailable, so the people scheduling can see when you're available and book you into it, instead of ringing around.

I used to share my Google Calendar, but nobody booking a job thinks to open someone else's calendar, so I'd still get the "are you free?" calls. Now my availability shows up inside the roster they already work in. They book me when I'm free, and my bookings have gone up.

Josh, founder and working AV tech

Your private calendar stays private.

Your company sees you as unavailable, with the note "Synced from VenueWiki Calendar Sync". Never the event behind it. A dentist appointment, a date or even a day off all look the same.

Built for people who work gigs.

Schedulers and crew coordinators

Stop chasing crew for availability. Their busy time shows up inside the roster you already use, so you book people who are actually free.

How it works
1

Your company connects their roster.

One-time setup on their side — Rentman, Deputy, Humanity or Connecteam.

2

You connect your calendar.

Google or Outlook, then your specific calendar. Two clicks and you're done. Backfills one month and syncs forward a minimum of 12 months.

3

Your shifts just appear.

New gigs land on your calendar. Times change, the event changes. Shift's pulled from the roster or you're taken off it, it's gone. You never touch it. Every change is logged for you, and you can choose to be notified.

4

Your calendar, your rules.

Tag an event #me, or exclude its colour (Google) or category (Outlook), and it won't mark you unavailable. Pick a colour for each company synced into your calendar.

Already using one of these? You're covered.

FAQ

Which calendars?

Google Calendar and Outlook. Apple Calendar isn't supported.

Does it touch the roster?

Only to mark you unavailable. Your shifts come in; your availability goes back as a block with a fixed note, never your event details. On supported rosters: Rentman, Deputy, Humanity and Connecteam.

What does my company have to do?

Connect their roster app once. After that it's all automatic — you just connect your calendar.

Can i stop an event marking me unavailable?

Yes — tag it #me, or exclude its colour, and it won't block you out in the roster.

Deputy calendar sync, two-way, in Google Calendar or Outlook.

You're rostered in Deputy. You've pasted the webcal link into Google Calendar the way the help centre says, and your shifts turn up… eventually. Deputy's own help centre puts Google's refresh of that feed at every 8 to 24 hours. A shift gets moved and your calendar still shows the old time. You put a week away in your own calendar and Deputy still thinks you're free. VenueWiki's Calendar Sync closes that gap: your Deputy shifts land in Google Calendar or Outlook within the hour, and your availability goes back to Deputy.

What Deputy's own calendar sync does, and what it doesn't

Deputy gives you a webcal link for your schedule, and its help centre is clear about how it behaves.

  • It's a feed, not a sync. You copy the link from your Deputy profile and add it to Google Calendar, Outlook or Apple Calendar. Your calendar then fetches it on its own schedule. For Google Calendar, Deputy's help centre puts that at every 8 to 24 hours; for Outlook, up to 24 hours.
  • It only runs one way. It's a subscription feed: shifts go out to your calendar, and nothing you put in your calendar goes back to Deputy. Deputy's own suggestion for anything faster is Zapier, which is a separate tool with its own account and setup.
  • It has to be switched on for your team. A Deputy admin turns the calendar sync option on under Scheduling before your link works.

So if your calendar is Google or Outlook, what Deputy gives you is a one-way feed that can be a day behind. That's the problem this page is about.

Checked against Deputy's help centre on 5 October 2026.

How VenueWiki's Calendar Sync makes it two-way

Deputy to your calendar. You connect your own Deputy login to VenueWiki once and tick the workplaces you want. From then on, every shift at those workplaces lands in your Google Calendar or Outlook:

  • “Deputy Shift” as the event title.
  • Any comment on the shift in the description; without one, a note saying it came from Deputy through VenueWiki's Calendar Sync.

Times change, the event changes. Shift's cancelled, it's gone. VenueWiki checks Deputy about once an hour.

Your calendar to Deputy. Block out time in your own calendar, a holiday, the dentist, another gig, and Deputy shows you as unavailable. Deputy gets the dates and a fixed note. It never gets the name of the event.

What comes with it.

  • A colour per workplace, if you want one.
  • Don't want an event to block you in Deputy? Tag it #me, or give it a colour you've excluded, and it won't mark you unavailable.
  • When a shift's time changes, the change is logged inside the event, and you can get an email about it.
  • Nothing to install, and your company doesn't have to do anything.

Questions people ask about Deputy calendar sync

Does Deputy sync with Google Calendar?

Deputy's own route is a webcal feed: one-way, and Google refreshes it every 8 to 24 hours according to Deputy's help centre. VenueWiki's Calendar Sync is the two-way option: shifts in within the hour, availability back.

Why isn't my Deputy calendar updating automatically?

Because the feed isn't pushed to your calendar. Google Calendar fetches it on its own schedule, which Deputy's help centre puts at every 8 to 24 hours. VenueWiki's Calendar Sync doesn't wait for your calendar to fetch anything: it checks Deputy about once an hour and writes the events itself.

How long does Deputy Google Calendar sync take?

With Deputy's feed, up to a day. With VenueWiki's Calendar Sync, within the hour, every hour, and you can press Re-sync any time.

Do I need Zapier to sync Deputy with Google Calendar?

Not with VenueWiki's Calendar Sync. It connects to Deputy directly, so there's no Zapier account, no zaps, and nothing to maintain.

Does it work with Outlook?

Yes. VenueWiki's Calendar Sync puts your shifts in Outlook and Microsoft 365 calendars, and your Outlook availability goes back to Deputy.

What does Deputy see from my calendar?

Only that you're unavailable on those dates, with a fixed note: “Synced from VenueWiki Calendar Sync”. Never the event title or its details.

Does my company need to do anything?

No. You connect your own Deputy login. Your company doesn't need a VenueWiki account for this.

Can managers sync all employee schedules to Google Calendar?

Deputy's help centre says supervisors, location managers and system administrators can sync the whole schedule through Deputy's own feed, one-way. VenueWiki's Calendar Sync works the other way round: it's per crew member, and what managers get out of it is your availability showing up in Deputy before they roster you.

Does Deputy calendar sync work on an iPhone or Android?

Deputy's feed does, one-way, through whatever calendar your phone shows. VenueWiki's Calendar Sync puts your shifts in your Google or Outlook calendar, and your phone already shows those. Nothing to install, and you can set it up from your phone's browser.

I work at more than one Deputy workplace.

Tick the workplaces you want when you connect, and they all land in the one calendar, with a colour per workplace if you like. One Deputy login per VenueWiki account for now.

Is Deputy two-way calendar sync free?

Deputy's feed comes with Deputy. VenueWiki's Calendar Sync is a VenueWiki add-on: $55 a year, about $1 a week. That's five schooners a year, or less than $5 a month. The first 90 days are free and we don't ask for a card.

Can I keep the webcal feed too?

You can, but you'll see every shift twice. Most people switch the feed off once VenueWiki's Calendar Sync is running.

What about the other roster apps?

Same idea, each on its own page: Rentman, Humanity, Connecteam and When I Work (coming soon).
